Start with your problem
Write down the three things that cost you most today. For many pumps it is cash not matching the meters, stock loss found late, and credit balances nobody can explain. Judge every product against those three first.
The checklist
| Area | Ask the supplier |
|---|---|
| Sales | Are sales taken from nozzle meters, with test litres and rollover handled? |
| Stock | How is dip variance shown, per tank and per day? |
| Purchases | Can I record invoiced and received litres and track a shortage? |
| Credit | Can I record Qarza with vehicle numbers and see one balance per party? |
| Control | Can a closed day be locked? Who can reopen it, and is the reason recorded? |
| Reports | Which reports, and can they be downloaded as PDF or Excel? |
| Branches | How do I switch between pumps? Are reports per branch? |
| Rates | What happens when the fuel rate changes during the day? |
| Setup | Who enters my opening balances? Is training included? |
| Price | What is the setup fee, the yearly fee and the monthly option? Is any hardware needed? |
| Language | Which language are the screens in? |
| Internet | Does it work if the internet is down? |
| Support | How do I reach you, and how fast do you reply? |
| Data | Where are my records kept, and are they backed up? |
Features that sound good but may not matter to you
- Automatic tank gauge connections are useful only if your tanks have compatible gauges. Many pumps work with manual dips.
- A mobile app matters less when the product works in a phone browser.
- Payroll is useful if you want it in the same place. Many pumps already run salaries separately.
- Check whether a feature is included or an add-on, and write the final price down.
Price: ask for all of it
Some suppliers hide prices until you call. Ask for the setup fee, the recurring fee, the price of each extra branch and what is not included. PumpOS publishes its prices: Rs 45,000 setup and Rs 25,000 a year per pump, or Rs 2,500 a month, with each additional branch a flat Rs 10,000 setup and Rs 20,000 a year. See pricing.
Test it with your own figures
Ask the supplier to show one of your own days: your nozzles, your tanks, last week's meters and one credit customer. A product that cannot do this in a demo will not do it in your pump. Keep your last daily sheet ready.
Where PumpOS is honest about its limits
- Screens are in English, with Qarza, Wasuli and Kharcha. There is no Urdu screen yet.
- It runs in a browser and needs internet.
- There is no self-service account. We give a live demo and set up your pump.
- Dips are entered by your staff. Tank gauges are not connected.
- There is no mobile app. It works in the browser on a phone, tablet or computer.
In return you get accountant-grade daily books that lock, an audit trail, and setup with your previous figures. Read about the daily sales report, accounts and reports, or compare with Excel.
